How I combined web development, business-process automation, AI, Google Workspace, and Zapier to build the digital and operational backbone of a growing education company.

Numeracy Coach provides advanced mathematics coaching delivered by highly qualified educators. Its services include one-to-one coaching, group classes, and summer courses for students tackling Honors, AP, and other rigorous mathematics programs.
As the business grew, so did the administrative work behind every lesson: session tracking, parent invoicing, tutor commissions, payment reconciliation, referral payouts, overdue notices, and management reporting.
The challenge was not simply to automate a few tasks. It was to create a connected system that could support the business from the first website visit through the financial and operational workflows happening behind the scenes.
The Challenge: Growth Creates Operational Complexity
A tutoring business may appear straightforward from the outside, but each student creates a chain of interconnected activities.
Tutors record sessions. Families receive invoices. Payments arrive through different channels. Commissions must be calculated accurately. Referrals need to be tracked. Staff need timely information, and management needs visibility into revenue, outstanding balances, tutor activity, and student engagement.
When these processes depend on separate spreadsheets, inbox searches, and manual follow-ups, the administrative burden grows quickly. More importantly, valuable information exists but remains scattered across multiple systems.
My goal was to turn those disconnected activities into a practical operating system for the business—using tools the team already understood wherever possible.
A Website Designed Around the Customer Journey
I designed and developed the Numeracy Coach website to give the business a professional digital presence aligned with the quality of its educators.

The site communicates a clear distinction between general tutoring and the specialized academic coaching Numeracy Coach provides. It showcases the company’s services, teaching philosophy, educators, testimonials, and consultation process while giving prospective families clear paths to take the next step.
The website was designed to:
- Clearly communicate the Numeracy Coach value proposition
- Present one-to-one, group, and summer offerings
- Highlight the qualifications and subject-matter expertise of its educators
- Make consultation and contact options easy to find
- Provide a flexible foundation for future programs and content
- Connect customer inquiries to internal staff workflows
Rather than treating the website as a standalone marketing asset, I designed it as the public-facing entry point to a broader operational system.
Building the Business Engine with Google Apps Script
Much of the operational platform was developed in Google Apps Script and integrated with Google Sheets, Gmail, Google Drive, and scheduled automation.

Google Workspace was a natural foundation because it gave the team familiar interfaces while allowing me to build custom logic behind them. Staff could continue working with spreadsheets and email without needing to learn a complex enterprise platform.
Automated Parent Invoicing
Session records are transformed into organized parent invoices based on the appropriate billing schedule. The system groups eligible sessions, calculates balances, generates branded communications, and updates invoice records to maintain a consistent audit trail.
Tutor Commission Processing
Tutor commissions are calculated from recorded activity and each tutor’s configured payment terms. The workflow generates detailed commission summaries, provides the appropriate payment instructions, and tracks commission status.
Payment Reconciliation
Payments may arrive through channels such as PayPal, Venmo, or Zelle, with payer information that does not always match the student or parent record exactly.

I developed an email-processing workflow that identifies payment notifications, extracts the payer and amount, and compares the payer against the student roster. A custom matching process accounts for differences in name order, alternate payer names, organizational terms, and minor variations.
Successful matches are written to an accounts-receivable ledger, while uncertain transactions remain visible for human review. The objective is not blind automation—it is automating high-confidence work while making exceptions easier to resolve.
Referral and Overdue-Payment Workflows
The platform also supports referral-payout calculations and branded overdue-payment notices. Scheduled reminders help the business follow up consistently without relying on someone to remember every outstanding item.
Reporting, Exceptions, and Business Visibility
I built scheduled reports that turn operational records into useful management information, including weekly summaries, tutor-level breakdowns, outstanding balances, unmatched payments, inactive-tutor alerts, overdue invoices, commissions, monthly reporting, and automated backups.
Applying AI Where It Adds Practical Value
AI was incorporated into the reporting process to help transform tutor notes and session information into concise managerial insights. The system can organize observations around tutor performance, student progress, wins, and potential concerns for a defined reporting period.
Importantly, AI is used as a layer on top of structured operational data—not as a substitute for that structure. Reliable records, clear date boundaries, and focused prompts make the resulting analysis more relevant and useful.
Connecting Staff Workflows with Zapier
I also use Zapier webhooks to connect parts of the system with staff-facing workflows. These integrations allow events generated by the website or operational tools to be routed to the people and applications that need them.

For Numeracy Coach, I delivered more than a website and more than a collection of scripts. I created an evolving digital and operational foundation spanning marketing, invoicing, payment tracking, commissions, reporting, staff workflows, and AI-assisted insight.
That foundation gives the business greater consistency, visibility, and capacity to grow—while allowing its educators to keep their attention where it belongs: helping students succeed.
